Before purchasing a retreat, it is your responsibility to thoroughly read and understand each cancellation policy, and to clearly know the terms and conditions.
Our Intention is to make your experience fulfilling and a memerable life - healing experience. Therefore, we will be committed to making things as simple possible for anyone who wants to go on a retreat. We will be engaging a “Good Faith” relationship with you, with the understanding that sometimes things come up, and unexpected events happen that can keep you from fulfilling your commitment to attending the retreat. Your attendance and Registration for the Primrose Feminine Wellness Retreat is your commitment to engage in the professional services of Dr. Rosie Banker ND, Dr. Caroline Rodriguez, ND, and Practitioner Ron Interpreter as a “Patient to Client” relationship. This “Patient to Client' relationship will be granted Naturopathic industry Standards for patient care and oversight during your participation of the retreat. Under “Confidentiality Term”, you will be required to complete intake forms, general questionnaires, and review documents. The purpose of your participating is to ensure your experience is fun, well managed, and supportive of your healing process.
Booking your “Reservations” will be made upon payment of your “Deposit” or “Full Payment”. You will receive an email confirmation within a 48 hours time period of your “reservation”. In additions you will receive on-going communication from either Dr. Rosie Banker, Dr. Carolina Rodriguez, or Ron Interrpreter relating to travel, retreat preparations, and Doctor-Patient Health Forms and Confidentiality Agreements. You will also be invited to participate in scheduled “group calls” or “group Skype” to review your preparations and meet other individuals attending the retreat. We will also be providing a Facebook group to encourage further sisterhood involvement and answer other questions that may arise before or after the retreat.
Those desiring a “payment plan” will need to submit your request to the below “Contact Us” with an email. Payment Plan will be managed under the “Good Faith” agreement, which makes you accountable to set up and follow through with payment arrangements. The “Deposit” is 40% of the Package Value you have selected. The “Deposit” is a NON-REFUNDABLE payment to secure your reservation. The final payment of your balance will be made by July 15, 2019.
If you must cancel your retreat reservation, the cancellation policy outlined below will be applied. Exceptions to our cancellation policy cannot be made for any reason, including weather, terrorism, civil unrest or personal emergencies. There is no refund or discount for arriving late or leaving a retreat early, or for not participating in any scheduled activity. Any cancellations due to unforeseen circumstances one month prior to arrival will incur some withholding or extra fees based on your payment plan. The cancellation policy in effect includes:
PRIOR to July 31, 2019
Cancellation policy in effect; loss of deposit of purchase package purchased. The consumer card will automatically be charged.
TWO WEEKS - by August 09, 2019
Cancellation policy in effect; loss of deposit plus 25% of the entire package purchased. The consumer card will automatically be charged.
ONE WEEK - by August 14, 2019
Cancellation policy in efferct, loss of deposit plus 50% of entire package purchased. The consumer card will automatically be charged. Exceptions are made in case of serious illness or force majeure.
We are NOT responsible for other expenses incurred in your preparation for attending the retreat, such as airline tickets, loss of work, and/or other costs associated with preparing for your trip.
There is no exception to cancellation policy including weather or personal emergencies, flight cancellations or delays. We recommend purchasing Travel Protection Insurance through a qualified agent.
Notice of Cancellation
We reserves the right to cancel any Retreat at any time for any reason determined at our sole discretion, including too few participants, or if the quality of the retreat or the safety of the participants is deemed by Retreat Staff to be compromised. In such a case, refund of payments received from retreat reservations shall constitute full and final settlement and release of all claims against us. In the event of cancellation, Retreat Staff is not responsible for any loss incurred on account of nonrefundable or non-transferable air tickets or other unrecoverable travel costs.
Travel Requirements & Conditions
Please ensure that you have all the relevant travel documentation for the Retreat location and that you arrive at the airport on time. Retreat Staff is not responsible if you lack the required documentation for your flight or for entry into another country (valid passport for the entire duration of the Retreat and return travel, visa, entry fee, etc.). However, if you are unsure of your requirements and need help, you are welcome to contact us for assistance. Retreat Staff cannot accept responsibility for delay or cancellation of any flights, train, buses or other forms of transport.
Naturopathic Treatments, Yoga & Coaching Session Policy & Cancellations
Therapies will include group yoga/fitness/mediation and coaching sessions. All guests are encouraged to attend all included sessions, but this is not a requirement. In the event that you book an individual session with one of our instructors but are unable to make that appointment, you will be subject to their individual cancellation policies. This information will be made available to you prior to booking with them.
Responsibility of Valuables:
Upon check-in, all valuable items may be placed in your room safe, the resort safe or in another secure location. Retreat Staff is not liable for any breakage, loss or theft of personal items. Please limit your valuables, as traveling with such valuables will be your complete responsibility.
Personal Safety & Insurance
It is recommended that you obtain cancellation, travel and medical insurance prior to attending the Retreat. Prior to participating in any activities or using any facilities, please ensure that you are medically and physically fit and able. If you have any injuries or illnesses, please seek your doctor’s advice prior to attending. The Retreat Staff is not liable for any injuries due to use of our facilities or participation in activities or during travel to and from the Retreat. Any injuries or medical conditions are completely your sole responsibility. By sending a deposit toward your Retreat and returning your signed Retreat Registration, you certify that you do not have any physical condition or disability that would create a hazard for you or other participants during the Retreat. In other words, you certify that you are healthy and fit for any activities scheduled on the Retreat and in which you plan to participate. Furthermore, it is required that you have the proper personal and health insurance to cover your needs while present in the Retreat, in case of any loss of property, illness, injury or death.
Retreat Staff retains all copyright license rights and sole exclusive ownership of the information, photographs and material displayed on its website and obtained during the retreats. The material may not be modified, copied or used in any other way without first obtaining written permission from Retreat Staff.
Retreat Staff shall not be liable for any failures beyond its control. This covers natural disasters, war, closure of airports, civil strife, accidents or failure to perform by third parties, including suppliers and subcontractors.
We respect your privacy, both personal and informational. Retreat Staff will keep all information that we collect from you secure, and will not provide this information to any third party providers (HIPPA). In order to prevent unauthorized access or disclosure of your personal information, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.
We are committed to creating special memories for you during your retreat, and that includes having an on-site photographer and/or videographer to capture any special moments. If you are not comfortable having your picture taken, please let us know in advance. Otherwise you authorize Retreat Staff to use any and all photos for Social Media and Marketing purposes.
Acceptance of Terms and Conditions
By making a booking for the Primrose Feminine Wellness Retreat, you accept on your behalf and all those named on the booking to be bound by these Terms and Conditions, including the general release of liability and the assumption of risk, as described below.
Assumption of Risk:
You acknowledge that you have voluntarily applied for the Primrose Feminine Wellness Retreat. You understand that you may be traveling and that you will participate in various activities. You are prepared to assume the risks that may be associated with this Retreat, including: forces of nature, terrorism, civil unrest, war, accidents, personal injury and similar circumstances. You also assume risks associated with illness, disease, physical exertion, knowing that access to emergency medical support may be delayed. Your hereby agree to take full responsibility for your own actions, safety and welfare, including unanticipated events, injury, illness, emotional trauma or death.
